Terms of service

Last updated 16 October 2026

These are the terms for the websites, hosting, domains and business email I provide. If anything here doesn't make sense, ask me before you sign up. I'd much rather explain it than have you surprised later.

Who I am

KaiForgeDigital is me, Oliver Bundy (Ollie), a sole trader. When these terms say "I" or "me", that's who they mean. "You" means the business, charity, school, club or group signing up, and whoever is signing up on its behalf.

You can reach me at hello@kaiforge.digital.

Who these terms are for

I build websites for businesses and organisations, so these terms are written on that basis. If you're a sole trader, that's fine: you're signing up for your business, so these terms apply to you too.

How it works

  1. I send you a private setup link. On it you pick your plan, ask for a web address, tell me about your business and send over your logo and photos.
  2. Once I've confirmed your web address (or straight away if you already have one), you pay for the address and any one-off extras, and save a card for your monthly fee.
  3. I design and build your site. Building it is free.
  4. You look it over and tell me what you'd like changed before it goes live.
  5. When you're happy, I put it live. Your monthly payments start that day.

Our agreement starts when you tick to accept these terms and pay on your setup page. These terms, plus what you chose on your setup page (your plan, price, web address and any extras), are the whole agreement between us.

Once you've paid, your answers on the setup page are locked. If you need to change something after that, just tell me.

Your plan

  • Charity, £5 a month. For registered charities only. I'll ask for your charity number and check it before I start. Your site is hosted, kept online, kept secure and backed up, and can take donations. Changes aren't included, but I can make small changes for £10 each. Any other feature needs the plan it's normally part of.
  • Basic, £10 a month. Your site is hosted, kept online, kept secure and backed up. Changes aren't included, but I can make small changes for £30 each.
  • Managed, £20 a month. Everything in Basic, plus I make small changes for you when you need them, on your site and your Google Business Profile.
  • Advanced, £30 a month. Everything in Managed, for sites with features that take more work to build and look after, such as online booking, a shop, event tickets, lotteries, a members' area or volunteer rotas.

You pay the price shown on your setup page when you sign up, including any offer I've applied. I'm not VAT registered, so there's no VAT on top.

If you want to move to a different plan later, get in touch. The new price applies from your next monthly payment. If you move to a plan that doesn't cover a feature on your site, that feature will need to come off.

Getting found on Google

On every plan, I set your site up so Google can find it and show it to people searching locally, and I set up your Google Business Profile (or tidy up the one you have) and link it to your site. When your site goes live, I send you advice on looking after your profile: getting reviews, replying to them, and adding new photos.

Your Google Business Profile stays in your name, and I'm added as a manager so I can help with it. Google sometimes checks a new profile by post or video call, which can take a week or two. Google decides where businesses appear in its results, so I can't promise a particular position, but I'll set everything up properly to give you the best chance.

On Managed and Advanced, updating your profile (photos, opening hours, details) counts as a small change, so just ask. Replying to your reviews is best done by you, in your own words.

What counts as a small change

Small changes are the everyday stuff that keeps your site up to date, like:

  • swapping one or two photos
  • editing some text
  • updating prices or opening hours
  • adding another service to a list that's already there
  • updating what's inside a bigger feature, like the prizes in a lottery, ticket prices or booking times

Anything bigger isn't a small change. That includes adding a new page, redesigning part of the site, adding a new feature, or changing how a bigger feature like bookings or reservations works.

On Managed and Advanced, a few small changes a month are included, within reason. There's no set number. If it starts to become a lot, I'll have a friendly word with you.

If you ask for something that's a bigger job, I'll tell you and give you a price for it. I'll never charge you for extra work without agreeing it with you first.

The words and pictures on your site

You can write the words for your site yourself, or answer a few questions and I'll write them for you. Either way, it's included. You'll get to check everything before it goes live.

Anything you send me, like your logo, photos and text, stays yours. You give me permission to use it to build and run your site. Please only send me things you have the right to use, like photos you took yourself or ones you've got permission for.

You're responsible for what your site says being accurate and legal. That includes your prices, any claims you make, and the details limited companies and charities have to show. I can write a privacy policy for your site if you'd like, but how your business handles people's personal information is down to you.

Some features come with rules of their own. Lotteries and raffles usually need registering with your local council or the Gambling Commission, Gift Aid has HMRC rules, and shops and bookings need a cancellation and refund policy. I build the tools, but making sure you're allowed to run them is your responsibility.

I won't host anything illegal, hateful or misleading, or anything that uses someone else's work without permission. If something like that ends up on your site, I may take it down and will tell you why.

Who owns what

Your content is yours: your logo, your photos and the words on your site, including any I've written for you.

The website itself belongs to KaiForgeDigital: its design, layout and code, and the tools I've built to run it. I build it for free, and your monthly plan covers using it, so you can use it for as long as your plan is running. Everything you see and use on your site is yours to use during that time, but the design and code aren't transferred to you, and you can't copy them or have them copied for use elsewhere.

I may show your site as an example of my work. If you'd rather I didn't, just tell me.

Your web address (domain)

If I buy it for you, I register it and look after it for you, so I can manage its settings and set up email on it. You pay for it when you sign up, for the first year or for a few years upfront if you'd prefer. Before it's due to run out, I'll send you an invoice for the renewal. Please pay it on time. If a renewal isn't paid, the address can expire and someone else could register it.

Renewal prices can change. The renewal price on your setup page is my price on the day you sign up. Domain registrars change their prices from time to time, so I can't promise it will stay the same every year. Each renewal is charged at my renewal price when it's due. If that's changed from the price you were last given, I'll email you at least 30 days before the renewal is due.

It's your address. If you leave, I'll transfer it to you for free and give you whatever you need to move it, which is usually a transfer code.

If you already have one, you keep control of it. You'll need to point it at your new site, or let whoever manages it do that. Renewing it stays your job.

Business email

If I bought your web address for you, I can set up business email on it, like info@yourbusiness.co.uk. Mailboxes run on Microsoft Exchange, hosted by Fasthosts.

  • Each mailbox is one email address, priced per month: £10 for 5 GB, or £15 for 50 GB.
  • You can move a mailbox from 5 GB to 50 GB whenever you like.
  • Mailbox fees start when your site goes live, and the same 12-month minimum term applies.
  • I don't look in your mailboxes unless you ask me to help with something.
  • If you leave, your mailboxes close at the end of the last month you've paid for. It's up to you to download any emails you want to keep before then. I don't keep a copy once a mailbox is closed. I'll remind you in good time.

Paying

  • Card payments go through Stripe. I never see your full card details.
  • When you sign up, you pay for your web address and any one-off extras, and your card is saved for the monthly fee.
  • Your monthly fee starts on the day your site goes live, and is taken on that date each month.
  • If an offer has been applied, like 10% off for your first year, it lasts for the months stated. After that you pay the normal price.
  • If we've agreed you'll pay by bank transfer instead, I'll send you an invoice each month. Please pay it within 14 days.

If a payment fails, Stripe will try again and email you. Your site stays up while we sort it out, and I'll get in touch. If a payment still isn't made after that and we can't agree a way forward, I may take your site offline until it's paid. I'll always warn you by email first and give you at least 14 days.

Price changes. Your monthly price won't go up during your first 12 months. After that, if I need to change my prices, I'll email you at least 30 days before the change, and you can cancel before it takes effect.

Minimum term and cancelling

There's a minimum term of 12 months from the day your site goes live, for both your website and any mailboxes. After that it rolls on month to month.

You can cancel from your account page.

  • During your first 12 months, you can arrange for everything to end when your 12 months are up. If you need to leave earlier than that, talk to me. I'll look at each case fairly, but I can't promise to let you off.
  • After 12 months, you can cancel whenever you like. No more payments are taken, and your site and email stay up until the end of the month you've already paid for.
  • Before your site goes live, you can change your mind by telling me. Your monthly fee won't have started, so there's nothing more to pay. I can't refund a web address once I've bought it, but it's yours and I'll transfer it to you.

When you leave

  • Your website goes offline on your end date.
  • The design and code stay with KaiForgeDigital. If you'd like a copy of your content (your words, photos and logo), ask me and I'll send it over.
  • I'll transfer your web address to you for free.
  • Your mailboxes close at the end of the last month you've paid for, so download your emails before then.
  • I'll delete your information as explained in my privacy policy.

Keeping your site running

Your site is hosted on secure servers, served over HTTPS and backed up every night. I'll do my best to keep it online all the time, but no one can promise 100%. Now and then there'll be maintenance, or a problem with one of the services I rely on. When something goes wrong, I'll fix it as quickly as I can.

If I can't carry on

If I ever have to stop providing websites, I'll give you at least 3 months' notice and help you move your site, web address and email somewhere else.

Your visitors' information

When your site collects details from your visitors, through contact forms, bookings, orders or newsletter sign-ups for example, that information is yours, and I handle it on your behalf. That means I will:

  • only use it to run your site, and only as you'd expect
  • keep it secure, and keep it confidential
  • only share it with services your site needs to work, such as Stripe for payments, and make sure they look after it properly too
  • tell you straight away if anything goes wrong with it
  • help you if one of your visitors asks to see or delete their details
  • give it back to you or delete it when you leave, whichever you prefer

Limits on my responsibility

I'll always do the work with reasonable care and skill. But I'm a one-person business, so there are some limits:

  • I'm not responsible for lost profits, lost sales or lost business, or for any loss that isn't a direct result of something I did wrong.
  • I'm not responsible for problems outside my control, like an outage at one of the services I use.
  • The most I'll be responsible for in any 12 months is what you paid me in those 12 months.
  • If someone makes a claim against me because of something you asked me to put on your site, like a photo you didn't have the right to use, you'll cover the cost of it.

None of this limits anything the law doesn't let me limit, like responsibility for death or injury caused by negligence, or for fraud.

Changes to these terms

I might update these terms now and then. If a change makes a real difference to you, I'll email you at least 30 days before it applies.

If something goes wrong

Please talk to me first. Most things can be sorted out with a quick chat. These terms are governed by the law of England and Wales, and any dispute goes to the courts of England and Wales. If any part of these terms turns out not to be valid, the rest still applies.
